This Privacy Policy describes how Life Software Consultancy Pte Ltd (UEN 202236210K), operating as Virtual Public Accountant (VPA), collects, uses, discloses, and protects your personal data when you use the VPA service accessible via www.virtualaccountant.org and supported messaging platforms.
About VPA
VPA is a chat-based tax accounting, expense management, and workflow assistant service. Users interact with VPA through messaging platforms to upload receipts, track expenses, generate BIR-compliant tax filing documents, and ask VPA to help with user-directed Google Workspace tasks such as email, calendar, document, spreadsheet, presentation, Drive, and meeting-transcript workflows.
Data We Collect
- Account information, such as name, work email address, company name, and messaging platform identifier.
- Financial documents, extracted financial data, generated files, and communications you submit through the Service.
- Usage, device, platform, and log data for reliability, security, and support.
- Google Workspace data, if you choose to connect your Google account. This can include Gmail messages and drafts, Google Calendar calendars and events, Google Drive files and folders, Google Docs documents, Google Sheets spreadsheets, Google Slides presentations, and Google Meet transcript-related files or meeting-space metadata.
Google APIs and Limited Use
We receive Google Workspace data only after you complete Google's OAuth consent flow. The exact data available to VPA depends on the permissions you grant and the Google services you ask VPA to use.
VPA's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide or improve user-facing features that you request. We do not sell Google user data, use it for advertising, or allow humans to read it except when you ask us to, when needed for security or abuse investigation, when required by law, or when necessary for support with your consent.
We do not use Google Workspace data to train generalized AI models. Automated systems may process your Google Workspace data only to complete the specific assistant workflow you initiated, such as summarizing a document, drafting an email, preparing a report, or creating a calendar event.
How We Use Data
- To provide requested tax, accounting, OCR, report, and BIR DAT workflows.
- To perform user-directed Google Workspace actions, such as finding or drafting email, scheduling or checking calendar availability, creating or editing files, reading Drive documents you ask us to process, or retrieving meeting transcript artifacts for report generation.
- To manage accounts, provide support, improve service reliability, comply with legal obligations, and protect security.
Sharing, Storage, and Retention
We do not sell personal data. We may share data with cloud infrastructure providers, messaging platform providers, BIR when you explicitly instruct us to submit a file, professional advisors, law enforcement or regulators when legally required, or a successor entity in a business transfer subject to the same privacy protections.
Google OAuth tokens are stored in restricted service credential storage and used only to make Google API requests for the connected chat or account. You may revoke Google access at any time from your Google Account permissions page or by contacting us.
We retain personal data for as long as your account is active and for a period of up to five years after account closure to comply with tax and regulatory record-keeping requirements, unless earlier deletion is requested and legally permitted.
